Obsidian
Best for durable personal knowledgeThe best option when your priority is owning a long-lived library of notes. Obsidian stores notes as local Markdown files, works without an account, and has an official importer that can bring over Notion pages and databases.
Choose it when
- You care more about personal knowledge and writing than shared team workflows.
- You want files that remain useful outside the app.
- You prefer offline-first work and optional rather than mandatory cloud sync.

A safer Notion migration
- 01
Inventory what you actually use.
Separate ordinary pages from databases, formulas, relations, forms, automations, and public sites. The complex features—not page count—determine migration risk.

Create two exports.
Keep a full HTML export for reference and a Markdown & CSV export for portability. Notion says workspace exports can include pages, databases, and uploaded files.

Test one representative area.
Import a database-heavy project, a document tree, and several attachments before committing the entire workspace.

Compare what changed.
Check relations, formulas, people fields, dates, backlinks, permissions, comments, embeds, and file attachments. Every importer has limits.

Run both systems briefly.
Freeze structural changes in Notion, choose a final migration date, then retain the original export as a read-only archive.
When you should stay with Notion
Your databases run the business.
If teams depend on complex relations, formulas, forms, automations, and database permissions, migration cost may exceed the benefit.
You need one broad platform.
Notion’s advantage is breadth: docs, databases, projects, sites, forms, integrations, and AI in one managed service.
Your team will not adopt the replacement.
A theoretically better tool becomes worse when colleagues resist it or administrators cannot support it.

We have not yet completed a long-term, multi-user test of all four products. Accordingly, this page does not label the alternatives “hands-on tested” or present the ordering as a laboratory result. The ranking is an editorial fit assessment under our published methodology.
