Prices are list prices visible on official pages on 2026-07-26 and may exclude tax, currency conversion, add-ons, or negotiated enterprise terms. Encryption at rest and in transit are not end-to-end encryption, and self-hosting transfers security and recovery duties to the operator.

Proton Calendar
Best for encrypted personal scheduling with minimal infrastructure workProton Calendar is the strongest choice here when the primary concern is whether the service provider can read calendar event content. Proton states that event titles, descriptions, and locations are end-to-end encrypted and that booking details use zero-access encryption; appointment scheduling is limited to paid plans. The trade is interoperability: there is no CalDAV support, subscribed external calendars are read-only and may refresh only every 4–16 hours, and Calendly event types or booking-page rules do not have an official importer.
Choose it when
- Your threat model prioritizes limiting provider access to calendar content over broad CRM and automation integrations.
- One booking page per user is sufficient, or you are buying Workspace or Meet Professional for up to 25 booking pages.
- You prefer a managed service and can accept manual reconstruction of Calendly booking pages and rules.
Know the trade-offs
- Appointment scheduling is not included in Proton Free; common personal paid plans provide only one booking page.
- Proton Calendar does not support CalDAV, and external subscribed calendars are read-only with a stated 4–16 hour refresh interval.
- ICS migration moves calendar events, not Calendly event types, routing, workflows, payment settings, integrations, or booking URLs; imported participants and some recurrence rules may also be omitted.
Cal.com
Best for the closest managed Calendly replacement and the clearest migration pathCal.com is the most defensible choice when migration continuity and integrations matter more than end-to-end encryption. Its free individual tier includes unlimited event types and calendars, the paid plans add team routing and governance, and official pages advertise Calendly import and assisted enterprise migration. Privacy buyers should separate the managed product from Cal.diy: Cal.com encrypts data in transit and at rest, while the community self-hosted edition is explicitly recommended only for personal, non-production use.
Choose it when
- You need a managed service with familiar event types, team scheduling, payments, APIs, and major CRM connections.
- Reducing migration work is more important than obtaining end-to-end encryption or running the infrastructure yourself.
- You can use the hosted service or negotiate enterprise on-premises access instead of treating Cal.diy as a production team deployment.
Know the trade-offs
- The documented security model is encryption in transit and at rest, not end-to-end encryption.
- The public migration material does not provide a complete field-by-field map for workflows, routing forms, booking history, URLs, embeds, payments, and every integration.
- Cal.diy removes many commercial team features and is explicitly described as personal, non-production software that requires advanced server, database, and security administration.
Easy!Appointments
Best for organizations that can responsibly self-host and recover the serviceEasy!Appointments is the clearest production-oriented self-hosted option in this comparison: the application is free and open source, runs on a conventional PHP and MySQL stack, and supports Google Calendar, CalDAV, APIs, and webhooks. That control is not end-to-end encryption and it is not zero-cost operation; your team must configure TLS, patch the application and server, back up files and the database, and test restoration. There is no verified one-click Calendly importer, so this is a deliberate rebuild rather than a frictionless account transfer.
Choose it when
- Your organization must choose the server, hosting region, network controls, backup policy, and retention process.
- You have administrators who can maintain Apache or Nginx, PHP, MySQL, TLS, updates, monitoring, and tested restores.
- A web-based appointment system with Google Calendar, CalDAV, API, and webhook integration is sufficient without Calendly's advanced revenue-routing stack.
Know the trade-offs
- The software license removes subscription fees, not infrastructure, administration, security, backup, support, customization, or training costs.
- No end-to-end encryption model is documented; the operator and server stack remain inside the trust boundary, and TLS must be configured correctly.
- No current Calendly-specific importer was verified, and recurring events are not fully supported in Google Calendar synchronization.
A safer Calendly migration

Inventory the scheduling system, not just event types
List every event type, booking URL, host, connected calendar, conferencing provider, intake question, payment rule, routing form, workflow, CRM field, webhook, embed, SSO rule, domain setting, and retention requirement. This exposes dependencies that a calendar-event export will not preserve.

Export history and preserve configuration evidence
Export Calendly meeting and analytics data to CSV, retain permitted contact exports, and capture screenshots or written specifications of settings that have no portable export. Store the archive under the same access, retention, and deletion controls applied to other customer data.

Pilot one low-risk booking flow
Recreate a single low-volume event type, connect the target calendars and meeting provider, and test time zones, conflict detection, cancellation, rescheduling, notifications, privacy disclosures, and mobile booking. For self-hosting, also test TLS, monitoring, backup, and restoration before inviting real users.

Rebuild automations and validate integrations
Treat CRM mappings, payments, routing, webhooks, embeds, analytics, and email workflows as separate migration workstreams. Cal.com has an official Calendly migration path, but Proton Calendar and Easy!Appointments require manual reconstruction or custom work, and no option should be assumed to preserve old public URLs.

Run in parallel, cut over, then revoke
Keep old links operational during a defined overlap, update websites and email signatures, notify internal owners, and monitor failed bookings. After the retention period and a successful restore or export check, disable Calendly embeds, integrations, API tokens, and unused accounts rather than leaving a shadow scheduling system.
When you should stay with Calendly
Your scheduling flow is a revenue system
Calendly's paid tiers combine round-robin distribution, lead qualification and routing, Salesforce, HubSpot, Marketo, Pardot, Microsoft Dynamics, payments, webhooks, and administrative controls. Replacing that stack for a general privacy preference can create more operational and data-quality risk than it removes.
You cannot absorb a configuration rebuild
Calendly can export meeting records to CSV, but that is not a portable package of booking pages, rules, URLs, automations, and integrations. If a broken link or missed route has material commercial consequences, staying until a fully tested parallel deployment exists is rational.
Managed governance matters more than infrastructure control
Calendly documents TLS 1.2+, AES-256 encryption at rest, tenant separation, SSO and SCIM, audit logs, data-deletion controls, security testing, and enterprise support. An organization without mature operations may achieve a better real-world security outcome with those managed controls than with an under-maintained self-hosted server.
What we checked—and what we didn't.
Official pricing, plan-limit, security, privacy, hosting, integration, import, export, API, synchronization, and self-hosting documentation was reviewed for the three selections and Calendly. Zoho Bookings, Microsoft Bookings, and Nextcloud Calendar were also investigated before selection.
No product was installed, penetration-tested, audited, or migrated hands-on. Public documentation does not fully disclose Cal.com's Calendly field mapping, Proton's complete metadata boundary for every booking interaction, Easy!Appointments' Calendly-specific migration scope, or negotiated enterprise pricing and data-residency terms. Absence of an official importer claim is reported as unverified rather than proof that no private or partner-assisted method exists.
Match the alternative to the control you need
Choose Proton Calendar when encrypted calendar content is the priority and one or a few booking pages are enough; choose Cal.com when migration continuity, integrations, and managed team scheduling matter most; choose Easy!Appointments when your organization can responsibly own hosting, patching, backups, and recovery. Stay with Calendly when its routing, CRM, governance, and existing links are business-critical and the migration risk exceeds the privacy or hosting benefit.
