Nextcloud Talk is the strongest choice when Teams is only one part of a wider Microsoft 365 exit. Talk sits beside Files, Office, Groupware, and identity controls in a self-hosted or private-cloud workspace. Its advantage is suite breadth, not effortless migration: call scale needs the High Performance Backend, and the public migration material does not promise exact Teams chat fidelity.

Best for federated or air-gapped encrypted communication

Element is the distinct choice when the buying problem is sovereignty across organizations or isolated networks rather than a conventional office suite. Matrix federation and default E2EE support cross-domain communication without placing every participant in one vendor tenant. The trade-off is key management: server exports and backups cannot reconstruct encrypted history without users' decryption keys.

Choose it when

  • Independent organizations need federated rooms without surrendering control to one tenant.
  • Messaging and calls should use E2EE by default, including sovereign or air-gapped deployments.
  • The organization can govern recovery keys, federation, identity, moderation, and media services.

A safer Microsoft Teams migration

  1. 01

    Define the retention boundary

    Inventory teams, channels, chats, guests, files, recordings, transcripts, apps, identities, phone workflows, and meeting-room hardware. Decide what must migrate, what can remain as a read-only archive, and what can be deleted under policy.

  2. 02

    Export Teams and Microsoft 365 separately

    Use Microsoft's switching export for tenants of 500 users or fewer, or export APIs for other cases. Preserve ZIPs, counts, hashes, and a delta export; handle SharePoint, OneDrive, recordings, transcripts, and compliance records through their own paths.

  3. 03

    Prove architecture and restore

    Pilot identity, guests, mobile clients, media relays, storage, monitoring, retention, and federation. Restore from backup before importing real history; test Element recovery keys and database-plus-file consistency for Mattermost and Nextcloud.

  4. 04

    Map structure and coexistence

    Map Teams objects to target teams, rooms, spaces, files, owners, and guests. Treat bridges as temporary coexistence tools, not proof that history, permissions, reactions, apps, and meeting artifacts will migrate.

  5. 05

    Freeze, delta, validate, and retain rollback

    Run a final delta export, import only representable data, and validate authorship, timestamps, threads, files, retention, search, calls, notifications, and mobile access. Keep Teams read-only until legal review, restore testing, acceptance, and rollback are complete.

Stay when Teams is the visible layer over SharePoint, OneDrive, Office coauthoring, Outlook, Entra ID, Purview, Teams Rooms, telephony, and business apps. Replacing chat alone can add complexity without reducing Microsoft dependence.

Meeting and compliance features matter more than blanket E2EE

Teams' server-readable model supports recording, transcription, recap, retention, eDiscovery, and policy controls. Its E2EE modes deliberately disable or limit several functions, demonstrating the same trade-off buyers face in encrypted replacements.

You lack a platform operations team

Stay when no team owns databases, storage, upgrades, patches, media relays, monitoring, incident response, backup verification, disaster recovery, federation policy, and key recovery. Supported SaaS can be safer and cheaper than an under-operated self-hosted stack.

Nextcloud does not publish exact Teams fidelity; Mattermost documentation contains licensing distinctions that need procurement review; Element's Teams bridge documentation says the product is no longer sold.
